Ultima Serve website

Privacy Policy

Last updated October 25, 2026

This policy explains what Ultima Serve (“we”) collects through www.ultimaserve.com and the services we run from it, why, who helps us, and the choices you have.

What we collect

  • When you contact us: your name and email, and if you give them, your phone number, company, the kind of business you run, what you need help with and your message. We also note whether you ticked “Keep me posted”, and how you found us: the campaign tags in the link you arrived from, the website that sent you, and the first page you visited.
  • When you book a free session: your name and email, your phone number and topic if you give them, and the time you chose.
  • Emails we send you: a copy of each one and whether our mail service accepted it.
  • How you use our website (Google Analytics): the pages you visit, how you arrived, how long you stay, your device and browser type, your approximate location (city or region), and whether you sent our contact form or booked a session, linked to a random identifier stored in a cookie, not to your name or email. See Cookies and browser storage for your choices.
  • Technical information: like any website, our servers receive your IP address and browser details with each request. We use them only to deliver pages and to stop spam and abuse.

How we use it

  • To reply to your inquiry, arrange your session, send its confirmation and reminder, and follow up.
  • To keep a record of our conversations with you, so anyone on our team can pick them up.
  • To send Ultima Serve news, only if you opted in. Every newsletter has an unsubscribe link that works with one click.
  • To protect our forms from spam and abuse.
  • To see which pages interest people, so we can improve the site (Google Analytics).

We don’t sell your information or show ads on our site.

Who helps us

These service providers process information for us, only to provide their service:

ProviderWhat they do for usWhat they receive
Google (Google Workspace)Sends our emails (Gmail), runs our calendar and hosts our video calls (Google Meet)Your name, email address and the emails we send you; for a booked session, its details on our calendar; if you join a video call, what Meet needs to connect you, such as the name you enter
Google (Google Analytics)Measures how our website is usedThe website-use details above and a random cookie identifier, as your choices allow; Google does not store your full IP address
CloudflareDelivers our website and protects it from attacks; checks that our forms are filled in by people, not bots (Turnstile)Your IP address and the details of each request, and browser signals when you use a form
OVHcloudRuns the server that holds our website and databaseThe information above, stored on a server we control

Some of these providers process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We may also disclose information when the law requires it.

We publish Ultima Serve’s own posts to our LinkedIn, X, Facebook and Instagram accounts. We send those platforms only our posts, and we don’t receive or keep information about you from them.

Cookies and browser storage

  • Google Analytics sets cookies (named _ga and _ga_…) to count visits and see which pages help people. If you’re in the European Economic Area, the UK, Switzerland or Quebec, they stay off until you choose “Accept”; elsewhere they’re on unless you choose “Decline”. You can change your mind any time with “Cookie choices” at the bottom of every page; your browser remembers your choice. If your browser sends a Global Privacy Control signal, we don’t load Google Analytics at all. You can also use Google’s opt-out add-on; see how Google uses data from sites that use its services.
  • Your browser keeps how you found us until you send a form. Clearing this site’s data in your browser removes it.
  • Only Ultima Serve staff who sign in to our console get a sign-in cookie.
  • Cloudflare may set a cookie that tells its network your browser has passed a security check, and its form check runs in your browser when you use a form; see Cloudflare’s privacy policy.

How long we keep it

  • Inquiries, bookings and the emails we sent you: while we have a working relationship with you or another reasonable business need, and we delete them sooner if you ask.
  • Your newsletter choice: until you change it. When you unsubscribe we keep a note of it, so we don’t email you again.
  • Google Analytics: visit-level data for at most 14 months, after which Google deletes it and only totals remain (such as visits per page).

Your rights

Under Canada’s privacy law (PIPEDA) you can ask to see the information we hold about you, have it corrected, or have it deleted, and you can withdraw your consent to newsletters at any time. Email [email protected] from the address you used with us, and we’ll respond within 30 days. If you’re not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

How to delete your data

  1. Email [email protected] from the address you used with us, with “Delete my data” in the subject.
  2. We delete your inquiries, bookings, the emails we sent you and your newsletter choice, and confirm by email within 30 days. We keep only what the law requires us to keep.

Our social media apps only publish Ultima Serve’s own posts. Visitors don’t sign in to our site with Facebook, Instagram, LinkedIn or X, so we hold no information from your social media accounts.

Security

Our database runs on a server we control, our console requires a staff sign-in, and our social media access tokens are stored encrypted. No system is perfectly secure; if you think something is wrong, tell us at [email protected].

Children

Our site and services are for adults and businesses. We don’t knowingly collect information from children under 16.

Changes

We’ll post any change to this policy on this page and update the date at the top.
